Paid community calculator: profit, break even and churn
Before you open a paid community, use a paid community calculator to know how many members cover your costs, how many deliver the profit you want and how many must join every month just to replace those who leave. The calculator below answers that with your numbers: price, fees, fixed costs, team hours and churn.
How it works in practice
How to tell if a paid community is profitable
Direct answer: subtract the payment fee and the variable cost per member from the monthly price. The result is the contribution margin. Divide the month's fixed costs, including team hours, by that margin to get break even members. Add your target profit to fixed costs to get the member target.
If the question is which platform leaves more net revenue, use the comparison in paid WhatsApp community. This article models the whole operation, with team and churn.
The formulas, one by one
Every calculator output comes from these formulas. None of the numbers are estimates from us.
| Output | Formula |
|---|---|
| Net per member | Price × (1 − fee) |
| Contribution margin | Net − variable cost |
| Fixed monthly cost | Tools + team hours × cost per hour |
| Break even | Fixed cost ÷ margin, rounded up |
| Members for target | (Fixed cost + target profit) ÷ margin |
| Churn replacement | Members × monthly churn |
| Average lifetime | 1 ÷ monthly churn |
| LTV | Margin ÷ monthly churn |
| Groups needed | Members for target ÷ 1,024 |

Starting values are examples for you to replace with your own. The tools field starts with the 9bot price after the first 3 months; add the other tools you use. Each WhatsApp group holds up to 1,024 participants.
Why churn sets the size of your operation
With 8% monthly churn, a 500 member community needs 40 new members a month just to stay the same size. That is a worked example, not a market average. Cutting churn is often cheaper than adding acquisition: warn before expiry, deliver one fixed piece of content per week and track inactive members (7 days) in Reports.
9bot Time Based Access Control warns before removing those who did not renew, with exceptions for admins and the whitelist. See also how to make money with a WhatsApp group and WhatsApp subscription clubs.
