Paid WhatsApp group: set up, charge a subscription and remove non-payers
A practical guide for course creators, coaches and paid communities that sell access to a group, with a revenue and churn calculator.
How it works in practice
Direct answer: A paid WhatsApp group (often called a VIP group) is a regular group where entry is limited to paying members. WhatsApp does not charge for groups: payment happens on a checkout or membership platform, the invite link goes only to buyers, admins approve each join request, and members are removed when their subscription ends. That access control is the real work, and it can be automated.
In short:
- WhatsApp has no built-in payments for groups; billing runs on a separate platform.
- Member approval and a regularly reset invite link keep the group from leaking.
- The biggest loss is usually people who stopped paying and are still inside; use the calculator to measure it.
What a paid WhatsApp group is and who runs one
A paid or VIP group is a standard WhatsApp group with paid or exclusive access. It has the same cap as any group, 1,024 participants according to the WhatsApp Help Center. What changes is the rule for getting in and staying in.
| Who | What the group delivers |
|---|---|
| Course creator or coach | Cohort support, live session reminders, extra materials |
| Analyst or trader | Signals, analysis and alerts on a schedule |
| Affiliate or deal curator | Early deals and limited coupons for subscribers |
| Content creator | Behind the scenes, exclusive content and closer contact with the audience |
| Publisher or newsletter | Full or early stories for subscribers |

How to set up a paid WhatsApp group, step by step
- Create the group with you and at least one trusted co-admin. See how to create a WhatsApp group.
- Turn on member approval in group permissions. People who use the link wait in a queue until an admin approves them.
- Lock down the link so only admins can invite. This guide to group links shows how to reset a leaked link.
- Put the rules in the description: what subscribers get, how to renew and what happens when access ends. Templates in group rules.
- Sell access outside WhatsApp on a checkout or membership platform, and deliver the link only on the thank-you page or in the purchase email.
- Decide who can post: a discussion group (everyone posts) or a content group (admins only), depending on what you sold.
How to charge a monthly fee for a WhatsApp group
WhatsApp groups have no payment button. Sellers use a recurring billing platform and reconcile the subscriber list with the member list. In 2025 Meta announced paid Channel subscriptions in the Updates tab, rolling out gradually. A Channel is one-way broadcast, so it suits exclusive content but does not replace a paid group where subscribers talk and ask questions.
| Model | How it works | Watch out for |
|---|---|---|
| Monthly subscription | Card charged automatically every month | Removing people who cancel or whose card fails |
| Fixed term (e.g. 3 or 12 months) | One payment with an end date | Tracking each member's end date |
| Bonus with a product | Access included with a course purchase | Separate cohorts by date so lifetime and limited access do not mix |

Enter your own numbers. The result is a formula applied to the values you type; it is not a revenue promise.
"Value given away" is the monthly fees of people who no longer pay but are still in the group.
How to remove non-payers without a weekly spreadsheet
The manual method is to compare the billing platform export with the group participants and remove people one by one. It works with a few dozen members and breaks down past a hundred. With 9bot, access can have an end date: when it arrives, access expires and the member leaves the group automatically, with a notice first. Joins go through approval with filters and a daily cap, and every newcomer gets a welcome message with the rules.

Cohorts by date. If you sell fixed-term access, create one group per cohort and bring the cohorts together in a community. See how to organise cohorts in a community.
Common mistakes in paid groups
- A fixed, public invite link. One buyer shares it and the group fills with non-payers. Reset the link and keep approval on.
- A single admin. If that admin leaves, WhatsApp picks another member as admin. Have at least two.
- A discussion group with no rules. In a paid group, spam and competitor promotion annoy the people paying. An anti-link filter handles most of it.
- Promising daily content with no schedule. Schedule posts in advance: see how to schedule group messages.
