WhatsApp metrics glossary: definitions and formulas for groups and communities

This glossary gathers the metrics used to evaluate WhatsApp groups and communities, with each definition, its formula and where it appears in the 9bot dashboard. Use it as a shared reference across marketing, community and leadership, so everyone talks about the same number.

How it works in practice

Without a bot, the admin piles up pending requests, a spam link, a question and a forgotten notice. With 9bot, the join is approved with a welcome, the link is deleted with a strike, .menu answers and the scheduled notice goes out at 6 pm.

Why standardize community metrics

Direct answer: WhatsApp metrics only support decisions when everyone uses the same definition. "Engagement" can mean messages, reactions or active members, and each reading leads to a different conclusion. A glossary fixes the name, formula, period and source of each indicator.

To choose which metrics to track, see how to measure WhatsApp group success. For the analysis walkthrough, see how to analyze community engagement.

Growth and retention metrics

Growth and retention metrics
MetricDefinitionFormula
Total membersParticipants in the group at the end of the periodCount at period end
JoinsNew members in the periodCount of joins
ExitsMembers who left or were removedCount of exits
Net growthReal change in the member baseJoins minus exits
Exit rateShare of the base lost in the periodExits ÷ members at start × 100
RetentionShare of the base that stayedStarting members still present ÷ members at start × 100

Always compare the same period. A launch week and a regular week should not be read side by side without that note.

Reports that show the return on your communities

Engagement metrics

Active members
Members who interacted in the group during the period. Rate formula: active members ÷ total members × 100.
Inactive members
Members with no interaction in the last 7 days. The base for re engagement actions.
Messages per active member
Total messages ÷ active members. Shows whether the conversation is concentrated in a few people.
Reactions
Total reactions in the period. In announcement only groups, it is the main reading signal.
Top contributors
Members who interacted the most. Candidates for moderators or ambassadors.
Peak hours
Time slot with the most messages. Guides when to schedule announcements.

Moderation and bot health metrics

Blocked spam
Messages removed by antispam and antiflood in the period.
Blocked links
Messages with links outside the whitelist removed by the filter.
Warnings and punishments
Number of warnings issued and punishments applied by the punishment ladder.
Uptime
Share of time the bot was running. Formula: running time ÷ total time × 100.
Average latency
Average time between a message arriving and the bot processing it.
Processing queue
Messages waiting to be processed. A growing queue signals a bottleneck.

How to read the metrics together

  • High growth and falling active members: the group attracts people but gives them no reason to take part.
  • Many messages and few active members: conversation concentrated in a few members.
  • Exits right after an announcement: wrong frequency or content. See why members leave the group.
  • Rising blocked spam: the group link may have leaked; tighten entry approval.
